Outlook Email Filtering
Outlook Email Filtering
1. Go to [Tools] -> [Rules and Alerts]
2. In the Rules Wizard select [Start creating a rule from a template] -> [Move messages sent to a distribution list to a folder] and click [Next]
3. Make sure that [sent to people or a distribution list] is selected, then in the ‘Step 2‘ window at the bottom click ‘people or distribution list‘.
4. In the ‘To‘ field copy and paste, or type in ‘listen@audiolabourersfederation.com‘ (without the quotes), and click [OK].
5. In the Step 2 window, click specified in ‘move it to the specified folder’.
6. Select the Inbox then click [New..]
7. Create the new folder, in this case I’ve named it ‘[LISTEN]‘, then click [OK]
8. Ensure the folder has been created correctly, and is selected, then click [OK].
9. Ensure the rules are correct. It should indicate that any emails being sent to listen@audiolabourersfederation.com will be moved to the [LISTEN] folder. While it might seem unusual that the ‘to’ part is being used, that is due to the way the mailing list is setup. Click [Next >].
10. Again double check the filter rule is setup to ‘move it to the specified folder‘. Now click [Finish].
11. That’s it, you’ve successfully created a mail filter rule in Outlook that will automatically move all LISTEN emails into their own folder for easier organisation.
12 [Optional]. If you have created your mail filter and already have a large number of LISTEN emails that you want to move into their own folder then click the [Run Rules Now...] button in the ‘Rules and Alerts‘ window. Make sure the rule is selected, and click [Run Now].
